Integrations
Connect ACOS to the tools your team already uses. Slack keeps your team informed without leaving chat. Calendar sync puts client meetings alongside your project tasks. Xero and QuickBooks keep your accounting books up to date automatically — no double-entry.
Overview
ACOS has five integrations available on the Growth and Scale plans. Each integration is configured from Settings → Integrations. Calendar integrations are per-user (each team member connects their own calendar). Slack, Xero, and QuickBooks are per-organization (connected once by an Admin or Owner).
Slack

All integrations require the Growth or Scale plan. A Member or Manager role can connect their own calendar integrations. Connecting Slack, Xero, or QuickBooks requires Admin or Owner role.
Slack
ACOS posts notifications to a Slack channel of your choice via an incoming webhook. You choose which events trigger a notification — project updates, invoice events, or smart alerts.
How to connect Slack
- Go to Settings → Integrations.
- Click Connect in the Slack card.
- In your Slack workspace, go to your Slack App Directory and create a new Incoming Webhook app — or use an existing one.
- Copy the Webhook URL (looks like https://hooks.slack.com/services/T.../B.../...).
- Paste it into the Webhook URL field in ACOS and click Save.
- Use the Send Test Message button to confirm the connection. You should see a message appear in your chosen Slack channel within seconds.
Notification preferences
Once connected, you can enable or disable each notification type individually from the Slack card in Settings → Integrations:
- Invoice paid — fires when an invoice is marked as paid
- Invoice sent — fires when an invoice is sent to a client
- Invoice overdue — fires when an invoice goes more than 7 days past its due date
- Budget warnings — fires when a project has consumed more than 80% of its budget
- Margin drop — fires when a project's margin falls below 15%
- Project status changes — fires when a project moves to a new status (e.g. Planning → Active)
- Team overallocation — fires when a team member's estimated workload exceeds their 4-week capacity
- Retainer hours warning — fires when 90% of a retainer period's budgeted hours are used
- Deal won — fires when a CRM deal is moved to Won status
- Proposal accepted — fires when a proposal is accepted by the client
- Stale deal — fires when an open deal has had no activity for 14+ days
Disconnecting Slack
Click Disconnect in the Slack card. The webhook is removed immediately and no further notifications will be sent. The Slack app configuration in your Slack workspace is not affected — you manage that separately in Slack.
Google Calendar
When connected, ACOS writes task due dates from your assigned tasks to your Google Calendar. Each event links back to the task in ACOS. This is a per-user integration — each team member connects their own Google account.
How to connect Google Calendar
- Go to Settings → Integrations.
- Click Connect Google Calendar.
- You are redirected to Google's OAuth consent screen.
- Sign in with the Google account whose calendar you want to use.
- Grant ACOS the calendar read/write permission when prompted.
- You are redirected back to Settings → Integrations with a success confirmation.
Only tasks assigned to you with a due date are synced. Tasks without due dates, or tasks assigned to other team members, are not written to your calendar.
What syncs
Disconnecting Google Calendar
Click Disconnect in the Google Calendar card. Existing calendar events that were created by ACOS are not deleted — they remain in your calendar. No new events will be created after disconnecting.
Outlook Calendar
Same behavior as Google Calendar, but uses Microsoft's OAuth and writes to Outlook (Microsoft 365 or Outlook.com). Also a per-user integration.
How to connect Outlook Calendar
- Go to Settings → Integrations.
- Click Connect Outlook Calendar.
- You are redirected to Microsoft's OAuth consent screen.
- Sign in with your Microsoft account (work Microsoft 365 or personal Outlook.com).
- Grant ACOS the Calendars.ReadWrite permission when prompted.
- You are redirected back to Settings → Integrations with a success confirmation.
If your organization uses Microsoft 365 with admin consent policies, your IT admin may need to pre-approve the ACOS app in the Azure portal before individual users can connect. Contact your IT administrator if the OAuth flow shows a "Need admin approval" screen.
Disconnecting Outlook Calendar
Click Disconnect in the Outlook Calendar card. As with Google Calendar, existing events remain in your calendar but no new events will be created.
Xero
Once connected, ACOS pushes invoices to Xero when they reach Sent status. The invoice syncs as a draft invoice in Xero, pre-populated with line items, client contact, and amounts. You can also trigger a manual re-sync from the invoice detail page.
How to connect Xero
- Go to Settings → Integrations.
- Click Connect Xero. (Requires Admin or Owner role.)
- You are redirected to Xero's OAuth consent screen.
- Select the Xero organization you want to connect to ACOS.
- Grant the requested permissions and authorize the connection.
- You are redirected back to Settings → Integrations with a success confirmation.
Invoice sync behavior
- When an ACOS invoice reaches Sent status, it is automatically pushed to Xero as a draft invoice.
- Line items, currency, due date, and tax rate are included in the sync.
- The Xero invoice ID is stored in ACOS and shown as a badge on the invoice detail page.
- Re-sync button: if you edit an ACOS invoice after it has been synced, use the Re-sync button on the invoice detail page to update Xero.
- Payment status does not sync automatically — mark invoices as paid in both systems separately.
Account mapping
After connecting, expand the Account Settings section in the Xero card to map ACOS services to Xero chart-of-accounts codes. This ensures Xero posts line items to the correct revenue accounts.
Disconnecting Xero
Click Disconnect in the Xero card. ACOS removes the stored OAuth tokens. Existing invoices already synced to Xero are unaffected — they remain in Xero. No new invoices will sync after disconnecting.
QuickBooks Online
Same behavior as Xero but for QuickBooks Online (QBO). ACOS pushes invoices to QBO when they reach Sent status. Also an organization-level integration.
How to connect QuickBooks Online
- Go to Settings → Integrations.
- Click Connect QuickBooks. (Requires Admin or Owner role.)
- You are redirected to Intuit's OAuth consent screen.
- Sign in with your QuickBooks Online account and select your company.
- Authorize the connection.
- You are redirected back to Settings → Integrations with a success confirmation.
Invoice sync behavior
- Invoices are pushed to QuickBooks when they reach Sent status in ACOS.
- Line items, due date, currency, and client are included.
- The QBO invoice ID is stored in ACOS and shown as a badge on the invoice detail page.
- Use the Re-sync button on any invoice to push updates after editing.
- Payment status must be updated in both systems separately.
Disconnecting QuickBooks
Click Disconnect in the QuickBooks card. Stored tokens are revoked. Invoices already pushed to QBO remain there unaffected.
Frequently asked questions
Can I connect both Xero and QuickBooks at the same time?
No. You can only connect one accounting integration at a time per organization. If you connect QuickBooks while Xero is active, the Xero connection will be disconnected first.
What happens to invoices created before I connected Xero or QuickBooks?
Only invoices that transition to Sent status after the integration is connected are synced automatically. For older invoices, you can trigger a manual sync from the invoice detail page using the Sync button in the accounting section.
Can two team members connect different Google calendars?
Yes. Each team member connects their own Google or Outlook account from their own Settings → Integrations page. The connections are completely independent.
Does ACOS read events from my calendar, or only write to it?
ACOS only writes to your calendar — it creates and updates events for task due dates. It does not read your existing calendar events.
The Slack test message went through but I'm not seeing real notifications.
Confirm the relevant toggle is enabled in the notification preferences section of the Slack card. Each notification type has an individual on/off toggle — all default to on, but check that none have been disabled. Also note that budget warnings only fire when a project exceeds 80% of its budget, and margin drop alerts only fire below 15% margin.
I'm seeing 'Need admin approval' during the Outlook OAuth flow.
Your Microsoft 365 tenant has admin consent policies enabled. Your IT admin needs to pre-approve the ACOS application in the Azure Active Directory admin portal before individual users can connect. Share the ACOS Microsoft App ID with your IT administrator.
